To bulk upload 1099-K forms, prepare the current form-specific Excel or CSV template, choose the payer and tax year, import the recipient-and-form records, and review the drafts before submission. After filing, export the filing report separately from the recipient PDFs: they serve different purposes.
For prepared settlement data, TaxFormHero’s 1099-K filing workflow connects spreadsheet import with review, submission, and recipient-copy options. This guide explains those operations for tax year 2026 without assuming an accounting integration calculates your reportable settlement amounts.
An import puts payer or recipient data into the filing system. A report export takes a filing list out for your records. A PDF export produces form copies. None of these actions means the IRS has accepted the return or that the recipient has received a statement.
The distinction becomes practical when a large batch is reviewed by several people. The preparer needs source totals, the reviewer needs draft forms, and the person distributing copies needs recipient PDFs. Give each person the right output instead of passing around one spreadsheet and calling the job complete.
If you would rather not do this on paper, e-file Form 1099-K online with TaxFormHero instead.
Have an account, the correct payer’s legal information, and reconciled payee records ready. Work from the template for the selected form and reporting year, together with its separate instruction sheet.
The non-obvious point: the recipient-and-form import creates both together. You do not need to type every recipient into the account first. Payers are a different import, used when you file under several businesses.
Open Submit Form. If you have not created the filing business, use Create a payer, complete its legal and contact details, and save it. The public manual-entry demonstration uses Save and start filing to continue.
If you manage many filing entities, the public bulk instructions also describe a separate payer spreadsheet import from the payer list. With one payer, manual setup can be the simpler route. Do not put several unrelated legal filers into one recipient batch.
Expected result: the filing business is available for selection, and you can identify it without relying on the recipient names below it.
Select the year in which the payments occurred, not the year in which you are clicking submit. Payments made during 2026 belong to tax year 2026 even if you file the return in 2027.
Choose 1099-K in the form selector. The walkthrough’s NEC example is useful for finding the controls, but its form fields do not become K fields by changing the title of a spreadsheet.
Before continuing, check:
Expected result: the grid is scoped to the correct filing context before you upload anything.
Use the form-specific template available in the filing flow or Form Template area. TaxFormHero’s public guide states that every supported form has its own Excel template and matching instruction sheet. Start there rather than changing the headings in a workbook built for another purpose.
The payer, year, and form are already selected before upload. The recipient-and-form sheet carries the payees and their form data; use the current instruction sheet to determine exact column names, formats, and requirements.
Do not invent column headings from an article. Template versions and tax-year requirements can change. If you cannot identify a field required by the current 1099-K instructions, resolve that before filing rather than putting it in an unrelated column.
Expected result: you have a working copy of the correct template and an unchanged copy of the downloaded instructions.
One row represents an intended recipient-and-form record, not an individual sale from your transaction ledger. Prepare annual and monthly gross reportable amounts before mapping them. If the reporting rules require separate returns, preserve that separation in your workpaper and output records.
For 2026 preparation, check the following reporting data against the current instructions:
| Data group | What to prepare | Check before import |
|---|---|---|
| Payee identity | Legal name, taxpayer ID and type, address | Match the underlying tax documentation |
| Reporting category | Payment-card or third-party network reporting | Do not merge categories solely for convenience |
| Annual gross | Gross reportable payments for the calendar year | Do not substitute net bank deposits |
| Monthly gross | The 12 reporting-month amounts | Reconcile to the same annual reporting scope |
| Transaction count | Number of payment transactions | Exclude refund transactions from the count |
| Other applicable fields | Withholding, state data, and current-year requirements | Follow the K template and instructions |
The IRS gross-amount definition does not net out fees, refunded amounts, or other listed adjustments. Maintain those adjustments in the reconciliation that explains your payouts; do not force gross payments to equal bank deposits.
Treat taxpayer IDs and ZIP codes as identifiers, not amounts to calculate. Review spreadsheet formatting so leading zeros are not lost and long identifiers do not become scientific notation. Follow the supplied template’s rules rather than applying a whole-sheet numeric format.
For your 2026 import, retain a control sheet with the intended record count, annual gross total, and the 12 monthly totals. Identify any intentionally separate records for the same payee so they are not mistakenly removed as duplicates.
Before upload:
Expected result: the workbook describes the intended filing batch, and another reviewer can reproduce its totals.
Return to the selected payer, tax year, and 1099-K grid. Choose Import from template and upload the prepared file. The documented import brings recipients and their forms into the review table as drafts.
Check the number of records that arrived before retrying an upload. Do not assume that every import error means nothing was created, and do not repeatedly upload the same file without checking the grid. Resolve any uncertainty with support before creating a second batch.
Expected result: the intended records appear under the correct payer and year, ready for review rather than automatically transmitted.
Check OK, Missing, and Error in the grid. Open the relevant record to investigate missing information or a questionable amount. The manual demonstration shows Fill in for an incomplete form and Open for a populated record, with Edit before changing the form.
For 1099-K, review its own payment fields. Do not copy the NEC demo’s compensation amount into a K box without understanding the reporting requirement. Preview draft PDFs and compare them with your approved workpaper.
Use a bounded review checklist:
A Ready form has reached a preparation state. It has not yet received an IRS Accepted response.
Select the intended rows and choose optional services by recipient as needed. The walkthrough shows TIN checks, state filing, print/mail, and e-delivery as separate choices, followed by Add to cart.
Review the cart’s form count and selected services before paying. Electronic recipient furnishing requires the appropriate consent; a known email address alone does not settle that requirement. Do not pay for a whole batch before resolving which records need postal delivery.
Expected result: the submitted order reflects the reviewed records and the services you actually intended to use.
Open Status after submission. Its report controls include Tax year, Payer, Form type, and filing-status filters. Set the relevant context and inspect the list before exporting.
Choose Export CSV or Export Excel for the filing report. Open the resulting file and confirm its record count and scope; do not assume row checkboxes control the report export in the same way they control PDF selection.
Save the report alongside the source workpaper, with the payer, reporting year, and export date in your internal filename. It is a filing register, not a package of recipient copies and not proof that every return was accepted.
Select the intended rows on Status, then choose Bulk Export PDF. The output is a ZIP of form PDFs. TaxFormHero supports unlimited PDFs.
Select the intended filings and verify the resulting download against your recipient list. There is no fixed PDF-count limit requiring you to split the selection.
For each ZIP:
Expected result: you have the intended form copies, and a record of which recipients belong to each download.
A bulk PDF download does not email or mail the forms by itself. If you distribute copies yourself, use a compliant delivery method, verify recipient addresses, and preserve evidence of what was furnished and when.
If you selected TaxFormHero’s recipient services, track that process separately from the federal filing response. The tax year 2026 recipient deadline and IRS electronic filing deadline are different; neither a downloaded ZIP nor a paid order proves both obligations are complete.
| Route | Best for | What changes | What stays the same |
|---|---|---|---|
| Manual entry | A small number of records or individual fixes | You enter recipient details and form amounts | Review, service selection, cart, and Status |
| Excel/CSV import | A prepared batch of 1099-K records | The template creates recipients and forms together | Review, service selection, cart, and Status |
TaxFormHero’s 1099-K bulk filing workflow suits teams that already maintain reconciled settlement workpapers and want to avoid retyping every recipient. The import saves data entry; it does not decide who must file or validate the legal classification of your transactions.
The spreadsheet does not import cleanly. Check the selected form, current template, required columns, and file format first. Do not rename NEC columns and hope they map to K fields.
A taxpayer ID or ZIP changed in the spreadsheet. Return to the original source, restore the correct identifier, and follow the template’s formatting instructions.
The imported total differs from your workpaper. Compare record counts and monthly totals before making a balancing adjustment. Look for missing rows, duplicated records, or different reporting scope.
The PDF download does not match your intended recipients. Check the selected filings and compare them with the files received. TaxFormHero supports unlimited PDF exports.
The report includes unexpected records. Review the downloaded file’s payer, form, and year. Recheck the list and filters rather than sending a mixed file to recipients.
Can I bulk upload 1099-K forms from Excel?
Yes. TaxFormHero supports Excel and CSV recipient-and-form imports. Select the payer, tax year, and 1099-K, then use that form’s template.
Do I need to add every recipient before importing?
No. The recipient-and-form import creates the recipients and their draft forms together. Payer records are handled separately.
Is the 1099-NEC demo the same as filing 1099-K?
The navigation follows the shared filing journey, but the reporting fields differ. Choose 1099-K and use the K template rather than the NEC compensation columns.
What is the difference between Export Excel and Bulk Export PDF?
Export Excel produces a filing report. Bulk Export PDF produces a ZIP of selected form PDFs for recordkeeping or recipient distribution.
How many PDFs can I download at once?
TaxFormHero supports unlimited PDFs through Bulk Export PDF.
Does importing a batch submit it to the IRS?
No. Imported forms enter the review table as drafts. Review them, select services, add the intended rows to the cart, and submit.
Does a PDF export send copies to recipients?
No. A download puts copies in your files. You must arrange compliant distribution yourself or select the provider’s recipient-delivery services.
Keep the original settlement export, the completed import template, the filing report, and the recipient-copy batches as different records. That separation lets you explain whether a 2026 problem started in the source calculation, data entry, transmission, or delivery.
