Online marketplaces file Form 1099-K when their settlement arrangements make them responsible for reporting sellers’ payment transactions. For tax year 2026, establish that responsibility first, then prepare gross payment totals, import the correct form template, review the batch, and track filing and recipient delivery separately.
If your marketplace has confirmed its filing obligation, the 1099-K filing service provides the route from prepared seller records to IRS transmission. This guide covers the marketplace decisions around that route, rather than treating every online seller as a filer.
A website that connects buyers and sellers is not automatically the entity responsible for every 1099-K. Contracts, settlement arrangements, and the party submitting instructions to transfer funds determine the reporting analysis. Do not issue a duplicate return simply because your platform displays a seller’s transactions.
The IRS third-party filer FAQs explain that a marketplace or payment app acting as a third-party settlement organization, or TPSO, reports the gross amount of reportable network payments it settles. Payment-card arrangements have their own rules. Outsourcing preparation does not remove the responsible entity’s liability for meeting the requirements.
For your 2026 filing file, retain the settlement agreement and a short explanation of which entity reports which payments. That explanation should be specific enough for another preparer to distinguish your return from the processor’s return.
Need to get this filed? You can e-file Form 1099-K online with TaxFormHero, which is IRS-authorized and charges per form, not per month.
Start with the settlement contract and payment records, not with the template. Identify the business that submits the settlement instructions and ask your tax adviser to resolve any written designation or overlapping responsibilities before you create forms.
A seller who receives a 1099-K generally checks that form against its records; that is different from a marketplace issuing forms to participating payees. Keep recipient support requests separate from the platform’s filing project.
Record these decisions:
For tax year 2026, the standard federal TPSO exception requires both gross reportable payments exceeding $20,000 and more than 200 transactions before reporting is generally required. Payment-card transactions do not have that de minimis exception. The IRS also permits voluntary reporting below a threshold, so below-threshold filing is not automatically an error.
Do not replace this distinction with a single rule labelled “the 1099 threshold.” Review backup withholding and state requirements independently. A state obligation cannot be decided solely from the federal TPSO test.
Before selecting your 2026 seller population:
You can prepare the source workpaper in your existing reporting system or a spreadsheet. Preserve the original exports, identify the reporting period, and establish annual and monthly gross reportable payments for each participating payee.
TaxFormHero accepts the resulting form data; importing is not a substitute for deciding what belongs in those totals. The gross amount is not the payout after fees. The IRS instructions define the amount without adjustments for fees, refunds, credits, and other listed deductions.
Check the following before upload:
TaxFormHero’s public step-by-step page demonstrates the shared filing journey with a 1099-NEC. For a marketplace batch, choose the payer, tax year 2026, and 1099-K instead. Download the template and instruction sheet for that form; do not upload a contractor-compensation template under a different form selection.
The platform distinguishes payer imports from recipient-and-form imports. A payer import creates the businesses you file under. A recipient-and-form import carries the payees and their form amounts together, avoiding a separate manual recipient-creation step.
Use this preparation order:
Imported forms join the same review table used for manual entry. Check the OK, Missing, and Error indicators, then open records that need attention. Do not interpret a completed import or a Ready label as an IRS acceptance.
For 1099-K, review annual gross amounts, monthly values, transaction counts, and applicable withholding and state information. Follow the current year’s template for additional required fields. The NEC demo illustrates the navigation, not the tax meaning of the K boxes.
Complete the review before selecting rows:
The IRS generally requires electronic filing when you have 10 or more information returns in aggregate, including applicable return types beyond 1099-K. Do not treat that count as a separate 10-form allowance for every form type.
Select the reviewed rows, choose Add to cart, and review the filing and service lines at checkout. After submission, use Status to monitor the returns. Queued to file and Accepted describe different points in the process; a payment receipt does not replace the IRS response.
For tax year 2026, recipient statements are due February 1, 2027, because January 31 falls on a Sunday. The IRS electronic filing deadline is March 31, 2027. These are separate obligations, and the later IRS deadline does not extend the recipient deadline.
Assign ownership of each completion check:
Open Status and use the tax-year, payer, and form-type controls to identify the batch you need. The public demonstration shows Export CSV and Export Excel for the filing list. These reports support your internal reconciliation; they are not recipient statements.
For copies, select the filing rows and choose Bulk Export PDF. TaxFormHero supports unlimited PDFs through bulk export. Confirm the downloaded files cover your intended recipients.
Keep these records together:
TaxFormHero is a pay-per-form 1099-K option for marketplaces with reconciled seller data and a spreadsheet-led filing process. Its useful distinction is the connection between recipient import, form review, optional delivery, and downloadable copies—not a claim that importing determines your tax liability.
| Route | Best for | Main advantage | Limitation to plan around |
|---|---|---|---|
| Direct IRS IRIS Taxpayer Portal | Teams that want to manage IRS filing themselves | Direct web-based filing with CSV support | You obtain the required access and manage recipient distribution |
| TaxFormHero | Marketplaces moving prepared seller data into a filing and delivery workflow | Form-specific Excel/CSV import and per-row optional services | Source reconciliation and reporting responsibility remain yours |
| Tax preparer using filing software | Marketplaces needing professional judgment on the settlement arrangement | Advice and preparation can be coordinated | Confirm exactly who handles imports, delivery, and follow-up |
The direct IRS route is not limited to typing individual forms: its portal supports CSV uploads. Equally, using a paid provider does not establish that every transaction in your export is reportable. Choose based on your preparation capacity and the workflow you need after importing.
Treating every marketplace as a TPSO. Your business description does not settle the legal analysis. Review who has the contractual obligation and submits settlement instructions.
Applying the TPSO threshold to card transactions. The over-$20,000 and more-than-200-transaction test is not a universal exemption for all 1099-K reporting.
Copying the NEC demonstration’s tax fields. Use its navigation for the shared workflow, but select the K form and its template. Contractor compensation and settlement transactions are different reporting subjects.
Assuming refunds require corrections. A refund does not automatically make the previously reported gross amount wrong. Investigate the original calculation before changing a filed return.
Treating download as delivery. A ZIP saved to your computer is an internal export. It does not prove that the statements reached the participating payees.
Does every online marketplace have to file Form 1099-K?
No. Filing responsibility depends on the payment settlement arrangement, not merely operating a marketplace. Identify the responsible entity before preparing returns.
What is the federal TPSO threshold for tax year 2026?
The standard federal TPSO test requires gross reportable payments exceeding $20,000 and more than 200 transactions. Review state requirements and withholding-related obligations separately.
Can I use the NEC demo to learn the 1099-K filing workflow?
Yes. The demo shows the shared payer, year, review, cart, and Status journey. Select 1099-K and use its own template and reporting fields rather than copying NEC amounts.
Can a marketplace import recipients and forms together?
Yes. TaxFormHero’s recipient-and-form template creates the recipient records and their forms together after you choose the payer, tax year, and form. Payers use a separate import.
When are tax year 2026 1099-K statements due?
Recipient statements are due February 1, 2027, and electronically filed IRS returns are due March 31, 2027. The deadlines address different obligations.
How do I export marketplace recipient copies in bulk?
Open Status, select the intended filings, and choose Bulk Export PDF. TaxFormHero supports unlimited PDF exports; use CSV or Excel separately for the filing report.
Does an accepted 1099-K prove the gross payments are correct?
No. Acceptance is the IRS processing response, not an audit of your settlement calculations. Retain source reconciliation and review evidence.
Your 2026 marketplace filing is not finished when the cart is paid. It is finished when you can connect each intended seller record to its filing result, any required state submission, and the recipient-copy process without reconstructing the batch from memory.
