Efile4biz vs TaxFormHero: 1099 and W-2 E-Filing Compared

October 28, 2026 Tax Form Hero Team 5 min read

Abstract comparison of two filing pathways

Efile4biz and TaxFormHero are both online platforms for filing 1099 and W-2 information returns. Efile4biz is known for 1099 and W-2 filing with print, mail and e-delivery. TaxFormHero is built around graduated pay-per-form pricing, bulk Excel/CSV import, W-9 collection, TIN matching and IRIS transmission. This comparison was checked on 26 October 2026.

Disclosure: TaxFormHero publishes this article. We cover only these two platforms. Everything we state about TaxFormHero comes from our own published pricing and product information. For Efile4biz, we state only what we could confirm, and we mark the rest so you can check it with Efile4biz before you commit.

TL;DR

  • TaxFormHero charges per form with graduated tiers: $1.99 each for the first 150 1099 forms, down to $0.45 each above 1,000. There is no subscription, signup fee or annual contract.
  • Efile4biz is also a per-form service. A 2024 third-party review listed its range as $1.25 to $3.95 per form, so confirm its current rates before you compare totals.
  • TaxFormHero adds W-9 collection, instant TIN matching ($0.49 per check), multi-payer management and 41+ states plus Washington, D.C.
  • Efile4biz lists QuickBooks and Xero integrations and 1099/W-2 corrections. We could not confirm a Zoho integration on either side.
  • Filers of 10 or more information returns must e-file, and the IRS is moving intake to IRIS. Ask both vendors how they transmit.

TaxFormHero is an IRS-authorized e-filing platform, so you can e-file Form W-2 online without paper or a subscription.

Who each platform serves

Efile4biz is an online platform for businesses and individuals that file and deliver 1099 and W-2 forms. According to a third-party review published in 2024, it offers e-filing, e-delivery, print and mail, corrections, Excel and QuickBooks uploads, and QuickBooks and Xero integrations. It suits a business that wants a simple filing site and works from accounting software exports.

TaxFormHero is an IRS-authorized information-return e-filing platform for businesses, accountants, bookkeepers and CPA firms. It also serves credit unions, mortgage companies, digital asset brokers and retirement funds. It covers 1099-NEC, 1099-MISC, 1099-K, W-2, ACA forms and 20+ IRS information-return forms. Users can enter recipients by hand, import thousands of records from Excel templates, and manage multiple payer accounts. Federal returns go to the IRS through IRIS A2A.

If you file a handful of forms once a year, both can work. If you file for many clients or thousands of recipients, the differences in pricing structure, TIN checks and payer management matter more.

Pricing comparison with equivalent filing examples

How TaxFormHero prices

Pricing is graduated. Each tier applies only to the forms inside that tier. The whole order is never repriced.

1099 forms in the order Price per form in that tier
1 to 150 $1.99
151 to 500 $0.99
501 to 1,000 $0.60
Above 1,000 $0.45

W-2, W-2c, 1095-B and 1095-C filing begins at $2.99 per form for the first 50 forms, with lower rates at higher volumes. Add-ons are optional and priced per form: state filing $0.99, print and mail $1.69, encrypted e-delivery $0.19, TIN matching $0.49 per verification. See the full pricing page.

Worked examples on TaxFormHero

  • 25 1099-NEC forms, federal only: 25 × $1.99 = $49.75.
  • 25 forms with state filing and e-delivery: 25 × ($1.99 + $0.99 + $0.19) = $79.25. Combined Federal/State states carry no extra state charge, so this is the upper bound.
  • 600 1099 forms, federal only: 150 × $1.99 = $298.50, plus 350 × $0.99 = $346.50, plus 100 × $0.60 = $60.00. Total: $705.00, an average of $1.175 per form.
  • 50 W-2 forms, federal only: 50 × $2.99 = $149.50.
  • TIN check on 100 recipients: 100 × $0.49 = $49.00.

How Efile4biz prices

The 2024 review describes a per-form model from $1.25 up to $3.95 per form, with print, mail and e-file delivery bundled into rates that vary by form. It also reports a free trial. The review does not give a tier table, so we cannot calculate the 600-form example for Efile4biz without guessing. We will not guess.

Do this instead:

  1. Pick your real volume, for example 25, 150 or 600 forms.
  2. List the add-ons you need: state filing, TIN checks, e-delivery, mailing, corrections.
  3. Ask Efile4biz for the total at checkout, including corrections and any minimum fee.
  4. Compare the all-in total, not the headline per-form number.

Corrections deserve a line of their own. One reviewer quoted in the same 2024 review said that actions after creating a 1099 can be costly. That is one user’s comment, not a published rate, so check the correction fee before you submit.

Filing workflow and ease of use

TaxFormHero workflow

  1. Create an account. There is no signup fee.
  2. Click + Add payer and enter the business name and EIN. Repeat for each payer if you file for several.
  3. Collect W-9 forms from vendors, or enter recipient data by hand.
  4. Run TIN matching on recipients where you want to catch name and TIN mismatches before filing.
  5. Or import an Excel/CSV file with your recipient records.
  6. Review each form and choose add-ons: state filing, e-delivery, print and mail.
  7. Pay at checkout and transmit. Federal returns go to the IRS through IRIS A2A.
  8. Download recipient PDF copies for free.

The flow is linear. Payer, recipient, amounts, review, submit.

Efile4biz workflow

The 2024 review describes a short path: create the 1099, upload from Excel or QuickBooks if you have many, then e-file and deliver. Users in that review call 1099-NEC creation quick. Another reviewer complained that the service submitted a return earlier than expected. Whatever platform you use, confirm whether it files immediately or waits for your approval, and watch the submit button.

What matters in either workflow

  • Error validation on import. Ask whether bad TINs, missing addresses and malformed amounts are flagged before you pay.
  • Status tracking. Confirm where you see IRS acceptance or rejection.
  • Support. Look for a phone number or ticket system and reply times before the deadline rush.
  • Data retention. Ask how long filed returns stay available to download.

What the IRS requires, and why transmission method matters

The IRS says a person generally must e-file information returns if required to file at least 10 returns in a calendar year, counting almost all information-return types together. A business with seven 1099-NEC forms and four W-2s is over the line.

The same IRS page says FIRE will be retired in tax year 2026 and filing season 2027, when IRIS will be the only information-return intake system. TaxFormHero transmits through IRIS A2A. If you choose any provider, ask how it sends returns to the IRS now and what it will use for the 2027 filing season. Our guides explain the transition: IRS IRIS 1099 filing and what to do about FIRE. For the new tax year rules, see tax year 2026 changes.

W-2 filers also deal with the Social Security Administration. Our W-2 e-filing guide covers that side. If you run payroll alongside, online payroll services for small businesses are worth reading to see how payroll and W-2 filing connect.

TIN matching and W-9 collection

A TIN mismatch is the most common cause of avoidable IRS notices on 1099 filings. TaxFormHero lets you verify a TIN instantly for $0.49 per check, and collects completed W-9 forms online so the name and TIN come from the vendor, not from a retyped email. Both tools sit in the same account as the filing.

For Efile4biz, we could not confirm bulk or instant TIN matching or an online W-9 request feature on the date checked. If either matters to you, ask before choosing. If your vendors are numerous, collecting W-9s before January is the step that saves the most time.

Imports, payers and integrations

Imports. TaxFormHero accepts Excel/CSV templates with thousands of records. Efile4biz lists Excel and QuickBooks uploads.

Multiple payers. TaxFormHero supports multiple payer accounts, which matters for bookkeepers and CPA firms filing under many EINs. Confirm the same on Efile4biz if you file for clients.

Records routed into separate payer accounts

Integrations. The 2024 review lists QuickBooks and Xero for Efile4biz. Our product information lists Excel/CSV import. If your books live in Xero or Zoho and you need a direct connection, check each vendor’s current integration list. If you can export a spreadsheet, the import covers it.

Recipient copies, delivery and corrections

Recipient copies on TaxFormHero come three ways: free PDF downloads, encrypted e-delivery at $0.19 per form, and USPS First-Class Mail at $1.69 per form, with printing and delivery independently audited. Efile4biz lists e-delivery and print and mail as part of its service, with bundled rates that vary per form.

For corrections, both platforms support them for common forms. TaxFormHero handles W-2c as a listed form. Efile4biz lists 1099 and W-2 corrections. Compare the fee per correction and whether you must re-enter the whole return.

Security and support

Tax Form Hero LLC, founded in 2024, holds a SOC 2 Type I attestation, and data is protected with 256-bit encryption. Efile4biz describes its security as best-in-class, but we found no audit attestation we could cite. A SOC 2 Type I report covers the design of controls at a point in time. It is not the same as a Type II report, which covers operating effectiveness over a period.

If your firm handles client TINs, your own environment matters too. Accounting firms often pair a filing platform with IT support for accounting firms to cover devices, email and backup.

Our perspective

We built TaxFormHero for one problem: filing information returns correctly without paying for software you use two months a year. A subscription charges you in the ten months you file nothing. Per-form pricing charges only for the returns you file.

Graduated pricing also keeps a growing client list from being punished. Your first 150 forms cost $1.99 each. Form 151 costs $0.99. Form 1,001 costs $0.45. You never reprice the whole order. We think that is the fair way to price volume.

Our perspective — overview diagram

We also treat the steps before filing as part of compliance. Collect the W-9. Verify the TIN. Then file. Most notices begin with a bad TIN, not a bad submission.

Efile4biz is an established name for straightforward 1099 and W-2 filing. If it fits your accounting software and your volume, use it. Compare totals with your real form count and add-ons before you decide.

FAQs

Is TaxFormHero cheaper than Efile4biz?

For 1099s, TaxFormHero’s average falls as volume grows, to $1.175 per form on a 600-form order. Efile4biz’s current rates are not tiered in any source we could cite, so confirm its total at checkout. Compare the same forms and add-ons on both.

Do I have to e-file my 1099s and W-2s?

Generally yes, if you file 10 or more information returns in a calendar year, counted together, according to the IRS. Fewer than 10 may still be filed electronically. Ask a CPA or enrolled agent about your situation.

Does either platform require a subscription?

TaxFormHero does not: no subscription, signup fee or annual contract. The 2024 review describes Efile4biz as per-form with a free trial, but confirm current terms on its site.

Can I switch platforms mid-season?

Yes, as long as a return has not already been filed. Do not file the same return on two platforms. If a return was already accepted, any change is a correction on the platform that filed it.
